CONDITIONS CONSISTENT WITH OPERATING SCHEDULE
1. The safety of spectators and all those involved in this event is of the highest priority. We continue to such issues at all stages of the planning and organising of the event. We have involved experienced individuals to assist us in thorough risk assessments, and enlist the help of appropriately skilled members of the public to ensure that the four licensing objectives are more than adequately met.
2. Prevention of crime and disorder has been approached with the support of local community policing team.
3. For the duration of the event there will be a co-ordinated team of stewards who will be suitably prepared and briefed in their role before the event by the Community Support Worker; who will coordinate the stewards and security teams at the event. They will provide the “eyes and ears” of the event and will work as part of a wider security team (Safe and Sound Security Limited) to be vigilant and take the correct action to prevent crime and disorder at the event.
4. All stewards and security staff will be uniformed in hi visibility clothing and carry a personal radio for communications between teams and Community Support Worker.
5. The local police are aware of the event and will show a low level police presence.
6. In the event of disorder the Community Support Worker will contact the police directly if support is needed.
7. A team of stewards and security guards/door supervisors will be co-ordinated by the Community Support Worker who will fully brief and provide information to ensure the correct procedures are instigated where needed. The information provided will be underpinned by relevant policies i.e. Lost Child Policy.
8. Stewards and security team will be clearly identifiable and they will be able to communicate with one and another using licensed digital radios, local police will also be contactable in this way.
9. There will be a designated first aid/medical crew at the event which will be in a clearly marked and visible location.
10. The Fire Service will also be present at the event.
11. Those involved in the event will be required to have relevant documentation to ensure there is a minimal risk to the public (i.e. public liability insurance, food hygiene certification, etc.).
12. A comprehensive risk assessment enables the organisers to minimize potential risks and ensure the safety of the public.
13. The venue is relatively self-contained; however there are residential properties within close range. We plan to write to these residents to inform them of the event taking place, the date and times and the levels of music and disruption that they may experience.
14. We purposely planned the event to end at 10:30 p.m. as we felt this would also help to reduce public nuisance.
15. Careful signage aims to prevent high levels of vehicles using the residential estate for parking.
16. Contact will be made with the relevant departments within Allerdale Borough Council and should any complaints be made on the day of the event they will be provided with an appropriate contact and documented.
17. Upon entry, adults accompanying children under the age of 11 will be asked to write a contact number on the child’s wristband.
18. Stewards and security teams, along with all other volunteers involved in the event, will be briefed to be vigilant to the safety of children.
19. A designated children’s area will provide suitable activities and entertainment and will be overseen by a team of suitably experienced and qualified workers from Barnardos Children’s Centre.
20. All workers providing activities for children will be CRB checked along with all paid workers.
